● Please email photos of your artwork (JPEG) or video (MP4) or audio files (MP3) of your performance as an attachment to VeteranArtsShowcase.dw@gmail.com (2022 Application in the subject line). Label each file with your name and title of piece.
● Note: For most visual art, including photography, photographs of paintings, drawings, sculpture, and other non-photographic mediums a file with a resolution of 72 dpi and a short side dimension of 14 inches would be suitable for web display.
● Note: When recording video use landscape mode (long way) instead of portrait mode (tall way).
● Photographs of art works, other than photography, should be straight on, sharply focused and as parallel to the work being photographed as possible with enough of a border around the object to allow for perspective correction, if necessary.
● When photographing framed work, please remove the work from its frame so as to avoid reflection, or please try to mitigate reflections with a polarizing filter and by removing any light objects that might reflect in the frame’s glass.

2022 VETERAN ARTS SHOWCASE EXHIBIT RULES, GUIDELINES & LEGAL TERMS:
I. ELIGIBILITY:
● Artist must be connected to the United States Military, a Veteran, Active Service Member, or member of military/veteran family. All generations, regardless of discharge status, are welcome to participate.
● You may submit up to three pieces of work as you wish. However, the Showcase Committee reserves the right to make the final selections for the show.
● Work does NOT have to be “military-themed.”
● Use your judgment concerning subject matter. The Showcase Committee reserves the right to decline any work that is deemed inappropriate for our audience. All decisions are final.
● We ask that all artists, performers and presenters attend the Opening Ceremony and Reception: 5:30 – 8:30 pm, Friday November 18, at the Wallace Center, FDR Presidential Library and Museum. And we encourage that artists, performers and presenters to be on site as much as possible Saturday and Sunday (9am - 5pm) to support fellow artists and presenters (and to interact with the public if comfortable doing so).
II. VISUAL ARTS GUIDELINES:
● Space is limited, please be mindful of the size of your artwork. Assistance with transport, assembly, etc. will be very limited.
● Artwork must be complete and ready for display (i.e., framed, wired). We cannot accept any pieces that can’t be easily hung or displayed. Please contact us if you have questions. Tables available on request.
● Registration Entry Form must be filled-out on delivery with artist’s contact information and title of piece. Form provided.
● The Showcase Committee assumes no responsibility for damage to any piece. We will ensure the utmost care in securing your work, and moving it as needed. To help with this process, please make sure your piece is packaged appropriately.
● All artwork must be delivered to the FDR Wallace Center on Thursday, November 17 and remain on display until the end of the Showcase on 5pm Sunday, November 20.
● Artists are required to take their work home immediately at the end of the show on Sunday.
● Visual Artists are responsible for the delivery of their pieces between the hours of 11am and 6pm on Thursday, November 17, at: The Wallace Center, FDR Presidential Library and Museum, Albany Post Road (US RT9), Hyde Park, NY 12538
III. WRITTEN AND PERFORMING ARTS GUIDELINES:
● You must be onsite at least 30 minutes prior to your scheduled presentation/performance.
● Use your judgment concerning subject matter and language that could be inappropriate for our audience.
IV. SALES AND FUNDS TRANSFERS ARE STRICTLY PROHIBITED DURING THE EVENT.
• For sales negotiations after the show, names and contact information will be included in the program for all showcased artists unless you opt to have your contact information omitted. Check box below to opt-out. Please don’t include my name and contact information in the program □
V. APPLICATION FORMS:
• Are due October 21 and selected works and artists will be announced no later than November 1. Primary means of communications between the Showcase Committee and the artists is by email unless other arrangements are specifically requested in advance.
VI. PUBLICITY and PRIVACY:
All photographs, videotapes, audiotapes, applications, and interviews taken during or to promote Showcase 2022 (“Showcase Promotional Materials”) are the property of the Veteran Arts Showcase. By submitting this Application, you hereby consent to Veteran Arts Showcase use, in all media, of the Showcase Promotional Materials for non-commercial purposes, only, in connection with the Veterans Arts Showcase 2022 and to promote veteran arts and related events in the future. However, Veterans Arts Showcase is sensitive to the privacy interests of our artist community and that you may have individual concerns about publicity. If you wish you may opt-out of having any identifying information about you or your visual or performed art being included or disseminated in our Showcase Promotional Materials, by writing to Veteran Arts Showcase at the address provided on this application and requesting exclusion.
VII. LEGAL TERMS:
By submitting this Application, you agree to be bound by the following terms. If you do NOT agree to be bound by these terms, please do not submit this Application for consideration of your art in our 2022 Showcase.
Who We Are: The Veterans Arts Showcase is sponsored by the Orange County Council of the Arts, a not-for-profit organization. The Veteran Arts Showcase provides an annual platform for veterans, active-duty service members, reservist and their families to share their art in a variety of visual and performed media. We do not charge you an application or entrance fee for participating in the Showcase. We also do not charge attendees of the Showcase a fee to view the artwork or presentations. We do encourage attendees to donate to a variety of veteran’s related charities, including future Veteran Arts Showcases and other related veteran arts events.
Our Role in the Showcase: Veteran Arts Showcase’s exclusive role in Showcase 2022 is solely as a Service Provider. We are not and will not be liable for any content that is made available at the Showcase that is authored, submitted, or performed by anyone other than Veteran Arts Showcase.
Your Application to the Showcase: You understand and agree that by submitting your visual or performed art, you are consenting to its public dissemination. As a condition of our consideration of visual or performed art for inclusion in the Showcase, you hereby warrant and agree:
● You are connected to the United States Military, for example, a Veteran, Active Service Member, Reservist or a family member of someone connected to the United States Military;
● You own or have all necessary licenses, rights, consents, and permissions to use and to authorize Veterans Arts Showcase to use, the visual or performed art that you submit, including, but not limited to, any necessary patent, trademark, trade secret, copyright or other intellectual property or other proprietary rights in your submission;
● You have the written consent, release, and/or permission of each identifiable individual person in the art that you submit, to use and to authorize Veterans Art Showcase to use the name or likeness of each such identifiable individual person in your submission;
● You have the right to, and hereby, assign to Veterans Arts Showcase a limited, worldwide, non-exclusive, royaltyfree, and non-transferable license to use, reproduce, distribute, prepare derivative works of, display, and perform your submission in any media formats and through any media channels for non-commercial purposes, only, in connection with Veterans Arts Showcase 2022 and to promote veteran arts and related events in the future.
● You hereby agree to indemnify and hold harmless Veterans Arts Showcase from any and all claims of whatever nature that may arise from, in connection with, or be related to, your visual or performed art submission, such as, by way of example, that you did not have the necessary licenses, permissions or releases for submissions or that you lacked the requisite authority to grant Veteran Arts Showcase permission or license to use your submission as provided for above.
VIII. YOUR SUBMISSIONS:
Any physical works of art that are not picked-up after 6pm Sunday, November 20 will not be returned unless you make arrangements with us for its return. Any artwork remaining in our possession thirty days after the conclusion of the 2022 Showcase will be deemed to be the property of the Veteran Arts Showcase and we will have the non-exclusive right to use the artwork in future showcases or in connection with the promotion of veterans’ arts programs.
